Secretary/Bookkeeper/Receptionist

EMPLOYMENT STATUS:

Full Time (Non-Exempt)

DIRECTLY RESPONSIBLE TO:

Pastor

TYPICAL HOURS:

Monday Through Friday (8:00 AM TO 3:00 PM)

On the first weekend of each month, the secretary should be available to work during the weekend during Mass times: Saturday 4:00 PM to 6:00 PM, and Sunday 9:00 AM to 12:00 PM

Principle DUTIES AND RESPONSIBILITIES:

  • Provide receptionist services and record clear, accurate messages

  • Handle routine questions about policies

  • Greet and meet visitors

  • Prepare regular and bulk mailings

  • Pick up and screen incoming mail

  • Distribute mail and other related materials

  • Maintain filing system

  • Typing as required

  • Maintain records for the parish office (recording marriages, baptisms, funerals, new parishioners, financial contributions, etc.)

  • Perform data entry

  • Maintain and submit work records for payroll

  • Coordinate and schedule volunteers in the parish office

  • Provide computer input/output services for accounting and census

  • Prepare bank deposits and record receipts

  • Prepare vouchers, including coding and payment of outstanding invoices

  • Prepare financial statements as requested

  • Accountability for parish funds

  • Must meet deadlines for payroll taxes, etc.

  • Answer phones, take messages, refer callers to appropriate person

  • Register new parishioners

  • Maintain communication with diocesan staff, coordinate diocesan services, and respond to required diocesan expectations

  • Provide typing services, handle general correspondence and clerical support

  • Other duties as directed by the pastor

JOB QUALIFICATIONS:

  • Knowledge of and skill in using personal computers and word processing

  • Bookkeeping/accounting, computer and organizational skills

  • Experience working with the general public

  • Good interpersonal communication skills with the ability to communicate verbally and in writing

  • Proficient in typing skills

  • Basic knowledge of Catholic parish life and Catholic Faith

  • Ability to meet deadlines

  • Ability to perform outlined tasks

  • Ability to maintain confidentiality in all matters

SALARY AND BENEFITS:

Salary Range: starting at $41,000 annually, negotiated based on education and experience
